Key Responsibilities

Collaboration and Reporting

Work in direct support of the in-house Construction Manager, acting as a remote counterpart in daily coordination, permitting, and documentation.

Maintain follow-up communication with project superintendents, consultants, subcontractors, and internal staff.

Prepare project updates, reports, and summaries to assist with internal team alignment and stakeholder communication.

Coordinate closely with the in-house team to ensure project decisions, delays, or challenges are communicated clearly and logged in company records.

Identify reasons for timeline delays and provide detailed analysis to the reporting manager with recommended solutions. Permitting and Scheduling

Prepare, submit, and track online permit applications for various jurisdictions in California.

Coordinate and schedule inspections in collaboration with the in-house Construction Manager. Maintain and update Gantt charts and project schedules regularly, communicating impacts of any changes.

Bidding and Procurement

Prepare bid packages, distribute scopes, and solicit bids from subcontractors and vendors.

Organize bid responses, track submission timelines, and assist in bid evaluations and recommendations.

Log and archive all bid communication and documentation according to internal procedures. Project Management Systems and Documentation

Utilize Buildertrend or Procore (required) to manage documents, RFI logs, schedules, submittals, and project communication.

Implement a system to ensure all field staff, subcontractors, and consultants are aligned on expectations for document submission and reporting.

Build and maintain internal project folders including daily reports, inspection records, contractor logs, and material tracking.

Develop and maintain internal “playbooks” and SOPs for recurring processes (e.g., permitting, closeout, inspection prep). Quality Control and Oversight Support

Review daily progress photos and site reports submitted by the local team.

Identify quality issues and escalate to the in-house Construction Manager.

Monitor project deficiencies, tracking resolutions and required follow-ups. Project Closeout
