Job Description:

1. Look after PABX System, including:

  • Answering and directing incoming calls and greetings
  • Call diverting, Waiting &Conference calls
  • Ensure proper conveying of messages to relevant officer on time

2. Monitor and record incoming and outgoing Mail & Fax:

  • Coordinating incoming and outgoing mail, packages, and deliveries
  • Manage log of every incoming courier
  • Provide courier to the concerned person on time

3. Reservation of Meeting rooms:

  • Take reservation from all TAJ House staff over phones/Emails, and reserve as per available time slot.
  • Developing proper record of Daily/monthly schedules & appointments in Conference room

4. Guest/Visitor Management:

  • Greet Every visitor in a humble manner
  • Fill Visitor Log book, and issue visitor pass
  • Don't provide any information without consultation with concerned person, only respond to visitor general queries w.r.t organization vision
  • Convey arrival information to concerned employee for meeting

5. Utility Management:

  • Ensure un-interrupted/availability of Electric, Gas and Water supplies
  • Proper record of all bills including, its issuing and due dates
  • Ensure timely payment of Electricity/Gas Bills
  • Updating of generator reading & fuel Log

6. Checking and managing of Nation-wide communication, including:

  • To welcome all callers with proper greetings and connect them with relevant Officer after his/her approval
  • To make mobile/outstation calls for employees and maintain a record of all outgoing calls

7. House Keeping:

  • Look after and ensure proper cleaning of Rooms, Conference & Board Rooms, Kitchen Hall, Terrace, Corridor, Stairs Washrooms etc.
  • Keep the reception area neat & clean
  • Updating needful inventories of electricity, washrooms and kitchen
  • Supervising Gardening

8. Store Admin management/ Stock Management:

  • Managing proper record of receiving inventory
  • Record issued stock to Departments

9. Other General Administration:

  • Handle Correspondences
  • Look after visiting waiting area
  • To take messages in case an officer is not available and ensure to deliver message on time
  • To provide support to other departments, if required
